Goal Boss Research ("we", "our", "us") operates the Goal Boss Notes mobile application and website at notes.goalboss.ai. This Privacy Policy explains how we collect, use, and protect your information when you use our service.

By using Goal Boss Notes, you agree to the collection and use of information as described in this policy.

Information We Collect

Account Information

When you sign in with Apple, we receive:

• A unique Apple user identifier (not your Apple ID)
• Your name (if you choose to share it)
• Your email address (if you choose to share it, may be a private relay address)

Audio Recordings

When you record a meeting or memo, the audio file is uploaded to our servers for transcription and analysis. Audio files are stored temporarily and used solely to generate your notes.

Generated Content

We store the transcriptions, structured notes, action items, and AI-generated suggestions produced from your recordings. This content is associated with your account.

Device Information

We collect your Apple Push Notification Service (APNs) device token to send you notifications when your notes are ready. We do not collect device identifiers, advertising IDs, or other device-level tracking data.

How We Use Your Information

• Provide the service: Transcribe audio, generate structured notes, and deliver them to you.
• Send notifications: Alert you when your notes are ready via push notification.
• Share notes: When you create a share link, the recipient can view the notes you've chosen to share. You control what is shared and for how long.
• Deliver emails: If you choose to email a share link to a recipient, we send a single email on your behalf. We do not add recipients to any mailing list.

How We Process Your Audio

Your audio recordings are processed using:

• Speech-to-text transcription running on our private servers (not sent to third-party cloud services).
• AI-powered note generation running on our private servers to structure your transcript into topics, action items, and suggestions.

Your audio and transcripts are processed on infrastructure we operate. They are not shared with or sent to external third-party AI services.

Data Sharing

We do not sell, rent, or trade your personal information. We share data only in these limited circumstances:

• Share links you create: When you generate a share link, the recipient can view the notes content you selected. Share links expire automatically and can be revoked at any time.
• Legal requirements: We may disclose information if required by law, court order, or government request.

Data Retention

• Audio files: Retained while your transcription exists. Deleted when you delete the transcription or your account.
• Transcriptions and notes: Retained until you delete them or delete your account.
• Share links: Automatically expire after the duration you select (1, 7, or 30 days). Expired link data is retained for record-keeping but the shared content is no longer accessible.
• Account data: Retained until you delete your account.

Data Security

We use industry-standard security measures to protect your data:

• All data in transit is encrypted via TLS (HTTPS).
• Audio files and notes are stored on private servers not accessible to the public internet.
• Share links use cryptographically random tokens (128-bit) and expire automatically.
• Authentication uses JSON Web Tokens with short-lived access tokens.

Your Rights

Access and Export

You can view all your transcriptions and notes within the app at any time.

Deletion

You can delete individual transcriptions (including audio files and generated notes) from the app. You can also delete your entire account, which permanently removes all your data including recordings, transcriptions, notes, and share links.

To delete your account, go to Settings in the app and tap "Delete Account".

Share Link Control

You can view all active share links and revoke any of them at any time from the share screen.

Children's Privacy

Goal Boss Notes is not directed at children under 13. We do not knowingly collect information from children under 13. If you believe we have collected information from a child under 13, please contact us and we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the service after changes constitutes acceptance of the updated policy.
